Event visibility for the fans is controlled by publishing an event.
It is important to note that publishing an event simply means that the public can view the event details. While an event is public, tickets will not be available for purchase until the defined on-sale start date (within the ticket setup). Publishing an event is the third and final step of the event build. You also have the option to update this setting at any time within the event.
Three Key Steps To Publishing an Event
Event Organizer:
Each event requires an Event Organizer. This allows our support and customer experience teams to have direct contacts for any questions related to the event, ensuring quicker resolutions. This event organizer must be one of the users in the box office that are at least a Department Manager or above, and have access to the event, school, venue, and department that coincide with the event. Optional: Include the Event Organizer details in all order confirmations for direct contact information to ticket purchasers.
Select Publish Time For Your Site:
Choose when your event becomes visible to the public by selecting a publish time:
Publish Immediately (turns visibility of event on immediately)
Unpublish (turns visibility off immediately)
Schedule to Publish on a select day/time before event (turns visibility on at a specific time in relation to the event, ex. 24 hours prior to event start time or 2 weeks prior)
Select Custom Day/Time (turns visibility of event on at a specific time and date, ex. tomorrow at 2pm)
Event Visibility:
Choose where your event is visible by selecting an Event Visibility option:
Ticketing & Website (used if you are hosting your Engage website on Hometown. Event will appear on your custom site, all ticketing pages, and in the fan app)
Website Only (used when event is to only appear on yoour custom Engage website. Suggested for schedule-only events where you are not selling tickets)
Ticketing Only (Ticketing for non-engage, this option will trigger event t o appear on ticketed displays, embeds, but not to a Hometown hosted website)
Private (this setting will ensure fans can only find the event with a direct link to the event. These events will not display publicly)
